Job Title: Administration and Finance Manager
Reports to: Executive Director
FSLA Status: Exempt, Full time

Summary: Founded in 1989, Essential Partners equips people to live and work better together in community by building trust and understanding across differences. Under the oversight of the Executive Director, this full-time staff member is responsible for both managing and scaling the financial and administrative systems needed to support Essential Partners’ Strategic Objectives.

Core Duties and Responsibilities

Administration

  • Serves as a partner to the ED on the organization's administrative and operational processes, with a goal of continuously developing and improving systems.

  • Evaluates and improves Essential Partners’ information technology infrastructure, implementing new technologies to support key capabilities as required for future growth, and to support and drive key human resource initiatives.

  • In partnership with the ED, sets and supports org-wide policies

  • Overall responsibility for recruitment of staff. This will include marketing, operations and management of this process.

     

Finance

  • Oversee incoming cash flow and bookkeeping

  • Coordinate annual financial audit and required reporting

  • Manage overall budget and accounting processes

  • Manage vendor contracts for the organization

  • Manage payroll processing and act as PEO liaison

  • Manage accounts, contracts, and expense reporting for grants and projects with clients

 

Hospitality and Relationship Management

  • Partner with ED to ensure that the focus remains on the organization’s mission while maintaining the culture that makes Essential Partners unique.

  • Ensure efficient operation of all office equipment, arranging for routine and necessary maintenance as needed

  • Maintains office supply inventory and orders additional supplies as needed

  • Coordinates and monitors office operations to ensure compliance with company requirements—including monitoring phones and general email accounts

  • Manage relationship-building and team-building events for staff, board and Associates

  • Provides support to staff and board for all administrative and operational aspects of EP

  • Create and lead onboarding and transition plans

  • Participate in organizational life via staff meetings, events, and other meetings necessary to effective teamwork

  • Engage in all reporting and documentation requirements to maintain effective and reliable organizational systems

Qualifications

  • Proficiency in accounting software (e.g. QuickBooks), Salesforce, Office, and G-Suite

  • Demonstrated experience in financial management and accounting

  • Experience with audit, legal compliance, and budget development

  • Office management, human resources management experience

  • General management skills

  • Proven effectiveness managing others, empowering them to make decisions and navigating concerns or problems with curiosity and empathy

  • Experience overseeing information technology staff or vendors

  • Experience effectively communicating key data, including presentations to senior management, the Board or other outside partners/influencers/clients

  • Success seeing beyond the numbers, identifying trends and new possibilities

  • Relevant Bachelor’s Degree, Associate Degree, or professional certification required

Essential Partners is a 501(c)3 organization. This position is a full-time position with competitive benefits including sick leave, flexible work from home policies, new parent leave, four weeks of PTO, and medical insurance. We take pride in being a family- and pet-friendly office. Approximate salary ranges from $60,000-$65,000 annually depending on experience.
